Job Summary

The Grant Specialist will be responsible for the day-to-day management of the office activities including a variety of administrative and program support tasks related to general operations and grant making. An integral and important position within the grant team, this job is an opportunity to be part of a high functioning team within a successful work in the philanthropic sector. This person will enjoy working in a team environment and supporting the work of others, finding opportunities for taking initiative, and doing additional duties as needed to assure smooth operations.
Key Responsibilities

General Office:

  • Receives incoming calls, triages calls, and conveys messages as appropriate.
  • Schedules, coordinates, and confirms meetings and site visits.
  • Coordinates the arrangements and preparation of materials with internal and external stakeholders as requested.
  • Monitors and accesses daily calendars, anticipates who will be arriving for meetings and prepares for them as required.
  • Develop and maintain all mailing and email distribution lists.
  • Assists in general office operations including mailings, emailing, filing, and copying as needed to support the office functions.
  • Assists with special events including the annual Festival of Inclusion, Foundations 40th Anniversary, and other celebratory milestones.

Grant Management:

  • Assist with preparation of quarterly Foundation board meetings including gathering and organizing required materials, copying, assembling required materials, and mailing.
  • Prepare appropriate correspondence regarding the status of proposals and funding decisions to grantees.
  • Assist with online grant portal operations and application process, including LOI approvals and denials.
  • Assist with content creation and dissemination on social media and website platforms, coordinating with Foundation’s PR team when necessary.
  • Assist with scheduling and travel arrangements and ensure accuracy on staff calendars.
  • Assist with presentation material and briefing documents for quarterly board meetings and as requested.

Vacation and Holiday Policy: PTO based on hours accrued
Related experience involving office administration, customer service & public relations. Equivalent combination of formal training and experience considered, associate degree preferred.
Experience/Personal Qualifications:

  • High level of professionalism, diplomacy and discretion particularly related to confidential information.
  • Excellent interpersonal, communication, and organizational skills with attention to detail and the ability to work independently.
  • Proficiency in Microsoft Office (Word, Excel, Outlook and PowerPoint), Google applications, ability and willingness to learn and utilize a variety of web-based applications to assist staff with organization and collaborative efforts.
  • Ability to meet deadlines, prioritize assignments, juggle multiple tasks and deal with highly confidential information.
  • Must have excellent verbal and written communication skills.
  • Punctual; outgoing and professional personality, with a clear understanding of confidentiality and attention to detail.
  • Candidate must be self-motivated and work well in a team environment.
