Description of Responsibilities:
Event Support: Support the planning and execution of fundraising events throughout the year. Events currently include: two major events in 2025, with several other small ones throughout the year. Works to manage event timelines and track progress. Under the direction of the ED, the Coordinator will assist with event logistics, committee facilitation, décor, day of event logistics, guest relations and other duties. Demonstrates the ability to develop and maintain collaborative working relationships with volunteers, Board members, Quatela staff, donors, prospective donors, and other external parties.
Fundraising Coordination: Assist with the creation, editing and printing of collateral such as event materials, sponsorship materials, annual appeal, and donor correspondence. Assist with donor communication and sponsor solicitation. In partnership with the ED, researches and generates outreach to prospective Foundation and Corporate grants.
Mission Coordination: Provides logistical and administrative support for mission teams including air, hotel, member registration, and reimbursements for 6 missions per year. Help inquire, procure, and process mission supply orders and donations.
Organization Support: Assists in administrative duties and participates in all HUGS collaborations and initiatives as needed. Actively pursues development of professional competencies related to job role performance through reading, supervision, in service training and attending workshops | conferences. Demonstrates the ability to work independently on projects and deadlines with minimal supervision.

Education: Associate's degree or equivalent experience preferred. in Communications, Business Administration, or related field.
Experience/Personal Qualifications: Results-oriented professional with a minimum of two years professional experience in a not-for-profit environment or related field. Fundraising a plus. Highly proficient in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook). Creative thinker who is comfortable managing multiple assignments/ projects and conflicting priorities with the pressure of short, demanding deadlines in a fast-paced environment. Must possess excellent and professional interpersonal skills with the ability to communicate both verbally and in writing, with multiple stakeholders internally and externally. Exceptional organizational skills and attention to detail with an emphasis on accuracy and quality.
