Description of Responsibilities: The Development Manager, River Campus Libraries provides organizational support for the River Campus Libraries, Vice Provost and Dean, Senior Director of Advancement, Friends of the University Libraries (FURL) committee and Rare Books and Special Collections. Must have the ability to demonstrate initiative, manage multiple priorities simultaneously and exercise independent judgment.

This position requires expertise managing events and prospective donor relationships. The incumbent is expected to develop and maintain donor prospect portfolios, gift coordination and acknowledgements. The Development Manager will report to the Senior Director of Advancement for the River Campus Libraries as the mainstay with donors and friends of the library. The incumbent will also work closely with the Executive Assistant to the Dean, providing office coverage when needed. Effectively manages and maintains a portfolio of 30-50 leadership annual fund (George Eastman Circle) prospects with an interest in supporting the Library. With a key focus of identifying new prospects and managing a prospect solicitation pipeline through visits, phone and email communication.

  • Develops a deep knowledge of the OASIS database and other programs to efficiently data mine and be engaged for targeted events and programs.
  • Develops, implements and maintains a set of standard operating procedures for event planning and execution.
  • Responsible for planning and implementing library advancement and non-advancement events.
  • Works closely with the RCL Senior Communications Officer for Libraries and Collections and Student Programming & Social Media Manager Officer and the RCL Student Programming & Social Media Manager to promote the library’s notable events.
  • Organizes and manages pre-event planning meetings, volunteer management, event memos, event timeline planning, calendar management, budget tracking, invitation process, registration, RSVP’s and event assessment.
  • Tracks event set-up and operational planning, day-of event responsibilities including check-in and name tags, event summaries.
  • Creates finance and attendance reports.
  • Manages financial reconciliation, gift processing and event acknowledgements.
  • Tracks event activity, follow-up and future planning in OASIS.
  • Manages the planning and implementation of the annual Neilly Author Lecture Series.
  • Manages the donor engagement and communication related to gifts in-kind for all areas of the Library, particularly Rare Books and Special Collections and General Collections.
  • Manages the gift-in-kind acceptance for all areas of the Library.
  • Management of the Friends of the University of Rochester Libraries (FURL).
  • Works closely with the FURL Executive Committee to coordinate grants to the University of Rochester Libraries the Research Initiative Award for students.
  • Monitors spending for FURL grants and awards and tracks purchases.
  • Works with the FURL Executive committee treasurer to create the annual budget.
  • Reconciles ledgers, creates monthly financial reports and initiates payment of invoices.
  • Coordinates and manages all aspects of FURL signature events, such as Theatre in London, the Annual Holiday reading and others.
  • Edits and maintains the FURL pages on the Library website.
  • Maintains FURL donor/membership information in Oasis.
  • Working in collaboration with Advancement Annual Giving team and Senior Director of Advancement, plans and executes library annual campaign/appeals.
  • Working with Advancement Annual Giving Team, plans and implements FURL annual giving appeals and other mailings.
  • Coordinates the production of River Campus bookplates for Rare Books and Special Collections and Acquisitions departments and the Honor with Books Program.
  • Develops briefing documentation for senior leadership.
  • Initiates the creation of basic and targeted marketing for tier one events.
  • At times, creates marketing collaterals for a variety of promotional purposes, such as posters, postcards, t-shirts, mugs, etc.
  • Serves on Library Committees.
  • Provides coverage for the Library Administration Office when needed.
  • Other Duties as assigned

Education: Bachelor's degree; or equivalent combination of education and experience.

Experience/Personal Qualifications:

  • 3 years’ relevant experience in a relevant field, or equivalent combination of education and experience.
  • Experience in advancement, donor relations or event management in higher education is highly desirable
  • Proficiency with Microsoft Office Suite.
  • Excellent interpersonal, communication and organizational skills, with attention to detail and the ability to work independently.
  • Good judgment, professionalism and discretion.
  • Familiarity with OASIS and Dreamweaver highly preferred.
  • Proven ability to interact with high-level University officers, donors, faculty, staff and the general public.
