The Development Donor Database Associate reports directly to the Membership Manager and is responsible for processing financial gifts, generate letters and handle a number of other membership and development tasks. This position provides a critical and integral role in gift entry and database management utilizing strong analytical skills and attention to detail in support of WXXI’s community fundraising efforts.

Role and Responsibilities

  • Process all the financial gifts for WXXI, WEOS, and WITH including checks, cash, and credit card transactions. Enter data in membership records. Prepare daily gift batches. Process monthly payroll deductions.
  • Generate renewals, installment notices, and thank you letters for membership for WXXI, WEOS, and WITH. Generate file for the monthly program guide. Process checks, credit cards and reports during capital campaigns. Enter data into member records. Process EFT’s, provide weekly credit card reconciliation reports to Finance.
  • Manage the Membership Database - monitor data accuracy and integrity. Update account records as needed, create queries and exports for mailing lists, email campaigns, fundraising appeals, event invitations, membership renewals, and other fundraising/marketing initiatives.
  • Act as liaison with the Finance department to ensure funds are recorded accurately.
  • Participate in pledge drives. Prepare materials, help set up studios, enter pledges, verify and download pledges, and provide general assistance as needed.
  • Process matching gift requests and vehicle donations. Enter data into member records. Balance all credit donations and provide Finance with Batch #’s. Verify and download pledges daily.
  • Daily and monthly closing in membership database (Allegiance). Provide general office assistance. Answer the Member Hotline. Serve as back up to other Member Services office staff.
  • Coordinate outgoing mailings through scheduling and supervising volunteers
  • Order and maintain stock of stationary and envelopes and inventory of Membercards.
  • Other duties as assigned.

Education: Associates degree, Bachelor’s preferred in related field, or equivalent combination of education, training and experience.

  • Experience with database management.
  • Ability to perform accurate data entry and achieve proficiency in donor database.
  • Strong proficiency in the Microsoft Office Suite.
  • Excellent organizational skills and ability to meet deadlines.
  • Experience working in a non-profit development setting preferred.
  • Ability to work occasionally in early mornings, evenings, or on weekends during member events or pledge drives.
  • Pleasant telephone personality.
  • Ability to work independently and collaboratively in a team environment

  • Demonstrates skill in understanding of cultural differences.

Experience/Personal Qualifications:

  • Experience with Allegiance or other fundraising CRM.
  • Ability to organize and manage multiple projects/tasks simultaneously; and adapt to changing priorities.
  • Knowledge of current issues facing WXXI and The Little Theatre.
  • Sense of humor.

Physical Demands: While performing the duties of this job, the Development Database Associate is regularly required to sit, use hands, reach with hands and arms, talk/hear. The employee is required to stand and walk. The employee must occasionally lift and/or move up to 10 pounds. Specific vision abilities required by this job include close vision, distance vision, peripheral vision, and depth perception.
