Description of Responsibilities: This position provides a critical and integral role in gift entry and database management utilizing strong analytical skills and attention to detail in support of WXXI’s community fundraising efforts.

Specific Responsibilities:

  • Process all financial gifts for WXXI, WEOS, and WITH including checks, cash, and credit card transactions.
  • Run queries and reports in database to capture recipient lists for appeals, renewals, events, or communications.
  • Enter data in donor records and monitor accuracy and integrity.
  • Act as liaison with the Finance department to ensure funds are recorded accurately.
  • Prepare daily gift batches. Download daily web pledges.
  • Provide weekly credit card reconciliation reports to Finance.
  • Process monthly credit card and EFT transactions. Process monthly staff-donor payroll deductions.
  • Daily and monthly closing in donor database.
  • Generate renewals, pledge reminders, and thank-you letters.
  • Generate mailing list for the monthly program guide.
  • Coordinate outgoing mailings through supervision of volunteers.
  • Order and maintain stock of MemberCards.
  • Process matching gift requests and vehicle donations as needed.
  • Answer phone calls on the Member Hotline and serve as back up to other Member Services staff.
  • Other duties as assigned.

Minimum Qualifications:

  • Associate’s or bachelor's degree, or the equivalent combination of education, training, and experience from which comparable skills are demonstrated.
  • Experience with database management.
  • Ability to perform accurate data entry and achieve proficiency in donor database.
  • Strong proficiency in the Microsoft Office Suite.
  • Excellent organizational skills and ability to meet deadlines.
  • Experience working in a non-profit development setting preferred.
  • Pleasant telephone personality.
  • Ability to work independently and collaboratively in a team environment.
  • Ability to work occasionally in early mornings, evenings, or on weekends during member events or pledge drives.

Preferred Qualifications:

  • Experience with Allegiance or other fundraising CRM.
  • Ability to organize and manage multiple projects/tasks simultaneously; must have ability to work independently, collaborate with colleagues and adapt to changing priorities.
  • Knowledge of current issues facing WXXI and The Little Theatre.
