Description of Responsibilities: The Coordinator of Advancement Services is responsible for representing the MCC Foundation at the highest caliber in dealing with internal and external constituents and stakeholders and in all duties as assigned. The successful candidate will work with multiple databases to support a variety of needs in the Advancement Services department. Reporting to the Director of Finance, the Coordinator of Advancement Services will play a key role in the Foundation's advancement efforts and will join a dynamic team that works to enhance private philanthropic support for MCC.

  • Finance Support
    • Complete daily remote check deposits.
    • Processes invoices for payment into Foundation Accounting system.
    • Reconcile the monthly credit cards statement with purchase receipts.
    • Reconcile deposits and credits on the monthly bank statement.
    • Manage the transfer of funds from PayPal.
    • Coordinates the checkout process for special events.
    • Conducts audits of the Foundation Petty Cash on a quarterly basis.
    • Assist in preparation of the annual audit.
    • Assists on yearly audit providing documentation as necessary.
    • Complete the annual PCI Self-Assessment Questionnaire and ensure compliance.
  • Database Support
    • Oversee daily acknowledgement process and create daily acknowledgement letters for the Development team.
    • Enter and maintain donor contact information into the CRM.
    • Pull updates to employee data from Banner into the CRM on a monthly basis.
    • Run end of month reports for the Director of Finance.
    • Acts as backup for posting Accounts Receivable into the CRM system.
  • Scholarship Support
    • Maintains Foundation scholarship master database.
    • Coordinates with College and Foundation staff to ensure finalization of profiles and appropriate distribution.
    • Coordinates with the Graduation Office to identify students who have received a Foundation scholarship and thus receive a green cord at graduation.
    • Work with vendor to produce and mail annual Endowment Reports.
  • Administrative Support
    • Update and maintain Foundation Policies & Procedures.
    • Maintain Record Retention policy and archive records as necessary.
    • Maintains fixed asset list to determine PC and printer needs.
    • Act as a liaison between the MCC IT Department and the Foundation, providing the Foundation staff with updated training procedures and materials as it relates to updated technology (software/hardware).
    • Participate as a full member of the Foundation's Advancement Services team including professional development activities and staff meetings.
    • All other duties as assigned.
