AFP Member? Yes Description of Responsibilities: Serves as principal assistant to the Senior Associate Vice President for Medical Center Advancement. Demonstrates ability to work in a team setting with all levels of management, staff and administration. Must have the ability to handle high level of confidentiality and professionalism as it pertains to the office of the Senior Associate Vice President for Medical Center Advancement. Strong organizational and computer skills. Ability to set priorities and handle multiple tasks with minimum direction and considerable latitude for independent judgment. Provides management of SMD Dean/URMC CEO’s Advancement calendar and liaises with his assistant to manage other key activities, including stewardship, meeting prep, and acknowledgment letters. Serves as staff support to the URMC Board’s Advancement Committee. With general guidance as to priorities, manages the time and calendar of the Senior Associate Vice President. Manages competing demands on time, refers matters to be handled by others, and manages access to the Senior Associate VP. Represents the Senior Associate VP in contacts with Medical Center leadership, chairs, faculty, trustees, donors, alumni and prospects, and University leadership. Assists the Senior Associate VP manage Major Gift prospects, donor projects, stewardship and activities. Proactively relays and frequently anticipates the Senior Associate VP’s needs, instructions, preferences, concerns, and recommendations to leadership and staff. Manages the SMD Dean/URMC CEO’s Advancement calendar and liaises with his assistant to manage other key activities including stewardship, meeting prep, and acknowledgment letters. Works closely with Advancement colleagues to ensure briefings, programs, and talking points are prepared according to standards and delivered to the Dean/CEO in a timely fashion. Compiles, edits, and proofreads materials for fund raising reports, correspondence, event briefings, presentations, proposals and publications. Prepares donor contact reports in OASIS system and assists with prospect follow-up, including maintaining mailing lists, and assists with processing gift input forms. Serves as “quality control” for written materials across URMC Advancement organizationPlans and makes all administrative arrangements for Senior Associate VP’s meetings and special events, including meeting facilities and equipment, travel, reservations, special event catering needs, AV requirements and conference arrangements. Manages all logistics associated with the quarterly SHARE Team meeting. Makes arrangements for visiting dignitaries, major donors, major gift prospects as directed by the Senior Associate VP. Serves as staff to URMC Board Advancement Committee; schedules meetings and makes appropriate arrangements, secures guest speakers, distributes agendas and materials, records minutes, as needed. Reconciles expenses on behalf of the Senior Associate Vice President; processes travel and conference expense reports, request for payments. Serves as quality control for expense reports requiring Senior Associate Vice President’s signature. Manages department budget, which includes conducting and certifying a monthly reconciliation of the program budget with the Director of Advancement Finance in Advancement Administration. Other duties as assigned by the Senior Associate Vice President.
