Description of Responsibilities: The Database/Advancement Associate plays a key role on the Advancement team by promoting and maintaining the highest-level of organization and accuracy of the Raiser’s Edge database through timely and accurate gift processing and acknowledgement. In addition, the Database/Advancement Associate provides administrative support to the many donor-related events and projects that the Advancement team and President execute on an on-going and annual basis.

Essential Duties and Responsibilities:

  • Promotes, integrates, and ensures the Mission of Mercy in the Advancement process and in all interactions.
  • Maintains the timely and accurate processing of donor gifts, constituent records, and general data entry for Advancement.
  • Updates the database records with pledge documentation, constituent action details, and other data.
  • Builds and maintains analytical reports and queries utilizing the donor database.
  • Ensures relationship management information in the donor database is up to date and accurate.
  • Performs prospect research activities.
  • Serves as a point of contact for Advancement related inquiries from internal and external constituents.
  • Maintains guest lists, processes registrations, manages volunteers, processes payments and other duties as assigned for events.
  • Responsible for list generations including but not limited to; appeals, newsletters, and events.
  • Prepares constituent communications: drafts, edits, and prepares pledge, gift, and meeting acknowledgment letters and other correspondence.
  • Provides administrative and logistical support for multi-year fundraising efforts including campaigns and events.
  • Manages and coordinates mailings and reviews for accuracy.
  • Assists in the planning and organization of Advancement and staff events.
  • Provides administrative support for the President, Vice President of Institutional Advancement, Advancement Committee and team meetings.
  • Maintains the highest level of confidentiality with all information, records and reports.
  • In addition to the essential job responsibilities, the Database/Advancement Associate will perform other duties as assigned.

Education:

  • Five (5) years of professional experience in an administrative role, fundraising or sales.
  • Experience updating and maintaining databases.
  • Knowledge of fundraising programs (i.e. Raiser’s Edge) is a must
  • Associates Degree from an accredited college.
  • Experience with and knowledge of the principles of fundraising/sales.
  • Two (2) years’ experience working in advancement, fundraising, general administration in the private/independent school or collegiate educational settings.

  • Builds sustainable, meaningful, and productive relationships with constituents and team members and exhibits a “can-do” attitude.
  • Exemplarily written and verbal communication skills; the ability to communicate and interact professionally with internal and external constituents.
  • Maintains confidentiality regarding donors.
  • Proficiency with Microsoft Office applications and fundraising/sales software, preferably Raiser’s Edge.
  • Highly detail-oriented with strong organizational and accuracy skills.
  • Proven ability to prioritize and manage multiple projects effectively.
